Privacy Policy

Your privacy is of great importance to PodcastFeed. We adhere to the relevant privacy laws and regulations, including the General Data Protection Regulation (GDPR). This means that we:

  • Clearly define our purposes before we process your personal data, as outlined in this privacy statement;

  • Store as little personal data as possible and only the data necessary for our purposes;

  • Take necessary security measures to protect your personal data. We also impose these obligations on parties that process personal data for us;

  • Respect your rights, such as the right to access, correct, or delete your personal data processed by us.

This privacy statement explains what we at PodcastFeed do with the information we learn about you.

Your Account

To use PodcastFeed, you create an account. For this we store your name, your email address and a password, which we store encrypted. We also store what you add yourself, such as your profile picture, phone number, billing email address, country and language, and the details for two-factor authentication if you use it. We keep track of when you last logged in and which emails we have sent you.

We need this data to perform our agreement with you. You can always change it in your account.

If you delete your account, you can undo that for 30 days. After that, we permanently delete your account and everything in it. If you do not log in for a year and have no active subscription, we send you an email. If you then do not log in within 30 days, we delete your account. For deleted accounts, we only keep anonymous figures, without anything that points to you.

Provision to Third Parties

To provide our service, we work with other companies. They only receive the data they need for their task:

  • Hetzner (Germany): the servers PodcastFeed runs on, in Falkenstein. We manage these servers through Ploi (the Netherlands).

  • Bunny.net (Slovenia): storing and delivering your audio files and images.

  • Chargebee (United States, data stored in the EU): subscriptions and billing. We are moving to the fully European version of Chargebee, planned for late 2026 / early 2027.

  • Mollie (the Netherlands): processing payments.

  • Moneybird (the Netherlands): our bookkeeping and invoices.

  • Lettermint (the Netherlands): sending emails, such as messages about your account and our newsletter. We manage the newsletter ourselves with Mailcoach, on our own servers.

  • Mistral AI (France): automatically transcribing your episodes, if you use that feature, for example for captions and clips.

  • Flare (Belgium): tracking down errors in our software. An error report may contain details about your account.

  • ip-api (Romania): determining which country and city an IP address comes from, for your podcast statistics. We do not store the IP address afterwards.

  • Google (United States): the connection with your YouTube channel (only if you connect your channel yourself) and measuring our advertisements through Google Ads. See "Connecting Your YouTube Channel" and "Cookies".

  • Plausible (Estonia): visitor statistics for our website, without personal data.

Chargebee and Google are companies from the United States. If data goes outside the European Union, this only happens with appropriate safeguards, such as the EU-US Data Privacy Framework or the standard contractual clauses of the European Commission.

Subscribing to a Service

You can subscribe to a paid service at PodcastFeed, where we use your personal data to process the payment. For this, we use your email address, name and address details, billing address, payment information, and IP address. We need this to perform our contract with you. We keep this information until you cancel the subscription. Certain customer data is kept longer due to the legal fiscal retention obligation.

Updates and News

If you have a PodcastFeed account, we send you updates and news about PodcastFeed by email, such as new features and offers. These emails are only about our own service. We do this based on our legitimate interest, within the rules of the Dutch Telecommunications Act for emails to existing customers.

You can unsubscribe at any time. Each email contains an unsubscribe link.

Provision to Other Companies or Institutions

Except for the parties necessary to deliver the above-mentioned services, we do not under any circumstances give your personal data to other companies or institutions, unless we are legally obliged to do so (for example, if the police demand it in case of a suspicion of a crime).

Connecting Your YouTube Channel

You can connect your podcast to your own YouTube channel. For this we use YouTube API Services, a service by Google. By connecting, you agree to the YouTube Terms of Service. What Google does with your data is covered by the Google Privacy Policy.

When you connect, you allow us to upload videos to your channel and add captions to them. We receive your channel's id, name and profile picture, and a key that lets us upload on your behalf. We store that key encrypted. See "Security" for how we protect this data.

We only use this access for what you choose in PodcastFeed: a video with the title, description, visibility and captions you provide. We do not view or change other videos on your channel, do not use your data for advertising and do not sell it. For videos we uploaded for you, we keep the YouTube video id, so you can see in PodcastFeed where it is.

Google is not our processor here: you put your own podcast on your own channel, under your own agreement with YouTube. Google may process your data outside the European Union.

While your channel is connected, we refresh its details regularly. If you disconnect your channel in PodcastFeed, we revoke our access at Google and delete the key and the channel details straight away. You can also revoke access yourself in your Google account; we then delete the key as well. Your videos stay on your channel, because they are yours.

PodcastFeed's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Listening to a Podcast

If you listen to a podcast hosted by PodcastFeed, we receive your IP address and details about your app and device when you download an episode. This happens automatically, even if you do not have an account with us.

We use your IP address to determine your country and city, through ip-api. After that, we do not keep your IP address. To avoid counting duplicate downloads, we keep a code for 48 hours that cannot be traced back to your IP address.

We keep the country, city, app, device, operating system and time of the download. This does not reveal who you are. We only use this data for the download statistics shown to the maker of the podcast, and keep it for as long as the podcast exists with us.

For a private podcast, the link to the podcast contains a personal code. We do not store that code with the download data, so we do not keep track of who listens to which episode.

We are the controller for this processing. We do this on the basis of our legitimate interest: podcast makers want to know how often and where their podcast is listened to, and that is an important part of our service. You can always object to this, see "Your Rights".

Statistics

We keep statistics on the use of our website and service.

Cookies

Our website uses cookies. Cookies are small files that are stored on your device. We use functional cookies that are needed for the website to work properly. We also use one marketing cookie, but only if you give your consent.

If you come to our website through a Google Ads advertisement and you have consented to marketing cookies, we store the Google Ads click ID (gclid) in a cookie for 90 days. If you then create a PodcastFeed account, we pass on this click ID and store it with your account when you register. We send the click ID back to Google Ads, so we can measure whether our advertisements lead to registrations. Google may process this data outside the European Union. We keep the click ID for as long as your account exists. If you do not give your consent, we do not place this cookie and do not store the click ID.

You can change your choice at any time using the link at the bottom of the website. You can also disable or delete cookies in your browser.

Plausible Analytics

We use Plausible Analytics to track how visitors use our website, for example which pages are viewed. Plausible does not place cookies and does not collect personal data. Your IP address is not stored: it is only used to create an anonymous code that is replaced every day, so we can count visits without knowing who you are. Plausible is a European company and stores the data within the European Union. We only use these statistics to improve our website.

Security

Security of personal data is of great importance to us. We take technical and organisational measures to protect your data, including the data we receive through connections with third parties, such as Google and YouTube:

  • All traffic between you, our servers and the services we work with is encrypted (TLS/HTTPS).

  • Passwords and access keys for connected third-party services, such as the key for your YouTube channel, are stored encrypted in our database.

  • Our servers are located in the European Union. Only a small number of authorised staff have access, and they must use two-factor authentication.

  • We make regular backups, stored with a separate provider in the European Union, so your data is not lost.

  • We monitor our systems for errors, keep our software up to date and delete data as described in this statement.

Changes to This Privacy Statement

When our service changes, we naturally have to adjust the privacy statement. So always pay attention to the date above and regularly check for new versions. We will do our best to announce changes to you.

Your Rights

If you have questions or want to know which personal data we have about you, you can always contact us. See the contact details below.

You have the following rights:

  • Explanation of what personal data we have and what we do with it;

  • Access to the precise personal data we have;

  • Having errors corrected;

  • The removal of outdated personal data;

  • Withdraw consent;

  • Limit a particular processing;

  • Object to a certain use.

Please always state clearly who you are, so we can be sure we do not change or delete the data of the wrong person.

In principle, we will comply with your request within 30 days. However, this period may be extended for reasons related to the specific rights of the data subjects or the complexity of the request. If we extend this period, we will inform you in time.

If you connected your YouTube channel, you can revoke that access at any time, in PodcastFeed under Distributing or in your Google account.

Filing a Complaint

If you want to file a complaint about the use of your personal data, you can send an email to info@podcastfeed.eu. We handle every complaint internally and keep you informed.

If you feel that we are not helping you in the right way, you have the right to file a complaint with the supervisory authority, the Autoriteit Persoonsgegevens (Dutch Data Protection Authority).
